Graduate Student Travel Fund

Monies are again available to fund travel so that you can carry out research that contributes to your thesis or dissertation, or for presenting your work at professional conferences. This academic year there will be two cycles of applications, due 1 February (winter cycle) and 1 May (spring cycle).

There are currently two sources of funding for the Winter cycle applications:

·         A sum of $15,000 has been generously provided by the Financial Affairs Committee of the Associated Students. This money can be used to reimburse costs for any travel that was completed from 1 September 2014 to 31 January 2015. It can also be used to pay in advance for travel to be completed between 1 February 2015 and 31 August 2015. 

·         We have also received $10,000 from the Student Success Fee, Academically Related Programs (SSF ARP) to be used to fund graduate student travel.  These monies have specific requirements, as follows:

These monies can only reimburse travel, and the travel has to occur in the Spring semester, and be concluded with all receipts submitted for reimbursement by May 1st, 2015.

There are several forms that must be submitted to us for reimbursement of travel related expenses:

ü  the Travel Authorization Form (which must be signed and on file with the department prior to travel), found here:

ü  the Supplier Payment Data Record (PDR), found here:

ü  and items specifically related to travel such as original receipts, Mapquest for mileage, event flyers etc. (see the checklist under travel).


Once notified of an award from these funds, please begin the process of filing the necessary paperwork prior to travel.  Once returned from your travel, and when all the paperwork has been submitted, we will complete the SDSU Travel Expense Claim Form and attach all the paperwork and submit for reimbursement.


The Graduate Student Travel Fund is available to all degree-seeking SDSU graduate students with an accumulated grade point average of at least 3.0. An eligible graduate student may submit one application for each review cycle.

Criteria For Review

The primary criteria used in evaluating applications for funding are as follows:

  •   Academic merit and clarity of proposal
  •   Contribution to completion of a thesis or dissertation
  •   Appropriateness of scope and budget
  •   Previous GSTF funding: Priority will be given to students not funded in recent award cycles.

Travel for training or study abroad is not eligible for GSTF funding.

To Apply

Complete the GSTF application including required signatures. Scan and save as a single low-resolution PDF file (files exceeding 5 MB and multiple PDF files will not be accepted) and e-mail the document to the Division of Research Affairs ( No paper submissions will be accepted. Decisions for funding will be announced within one month of the submission deadline.

Deadlines for fall, winter and spring are October 1st, February 1st and May 1st respectively.
